Document Scanner

Ad-hoc documentation for the client chart

Key Concept

Capture key documentation efficiently and effectively by using the mobile devices camera to scan a document and send it to Neo as a fax. Here is a demonstration of it.

Camera

Images can be selected from the device, but this is not recommended as it could put Protected Health Information (PHI) at risk. It will default to using the camera if it is available. Once the photo is taken, it is sent to Neo for processing (this could take a lot of time, depending on the connection) and displayed as it will appear to Medical Records from Fax Manager.

It is imperative that the provider review images to see if they need to enhance or re-take the document scan to ensure accuracy. Medical Records has the option to reject any scanned documents that are not clear.

Enhancements

Once the picture is taken and Neo has processed it, the image should appear in black and white with a toolbar at the top. This is where you can add pages, crop, rotate, and make other adjustments without having to retake the shot (Reset). This is meant for light editing, such as cropping a black bar from the top or sides, not extensive image manipulation.

Cover Sheet

The cover sheet includes information about the person logged in, the client's name, and the date it was sent. Also, you can also add a comment to the cover sheet to explain what you uploading if you believe it may be confusing or unusual.

Upload

Once you are looking at a good image and have completed any additional information you'd like to add to the cover sheet, click ‘Upload to Client Chart’ to send it. What will happen then is Neo will receive it, find the correct Medical Records drive to write it to and it will appear as a new fax to that team in Fax Manager. Just like what happens when you fax a document to that location's fax number.
