    Sending Notifications

    Learn how to quickly send multichannel notifications from your desktop or mobile device, in just a few clicks.

    Products: Emergency Communication

    Who can use? AlertMedia Full Admins or AlertMedia Restricted Admins (Most Managers (and office Admins) are on the Restricted Admin list; this means you will have the ability to send emergency notifications to your staff or impacted work site in the event of an emergency)

    • You can send a notification from anywhere in the AlertMedia web and mobile applications that you see a blue plus sign. You’ll find this next to group or usernames, threat summaries, event pages, templates, and more.

     

     

     

    AlertMedia makes it fast, easy, and simple to communicate with your employees during critical events and emergencies. Sending a notification takes only a minute with five easy-to-follow steps.

     

    How to Send a Notification

    1. Click the blue ‘New Notification’ button.
    2. Choose from your pre-filled templates or if you need to craft a custom message, continue with the instructions below.
    3. Pick the notification type (using a template automatically does this for you) depending on whether or not you’d like a response.
    4. Select all of the channels (How would you like to send) you’d like to use for communication of the message. Always typically send by Email, Text, and App
    5. Add groups or people that you want to receive the message. Groups are broken up by work locations; you can type the location in the search bar. Click on any and all groups that apply.
    6. Write your message or use the pre-filled template.
      1. If using the template, you must fill in the location! Highlight [location] and replace with the location of the event (e.g. 66 Stone St, 67 Eustis, 10 Caldwell, ect.).
      2. More specific templates have other details that will need to be filled in, such as the First Responder Template, where it asks [location in building].
      3. Fill in/replace any text in “[ ]”.

     

    1. Create a new event or add to an existing to keep related messages organized, but in an emergency, this is not needed. This typically applies to longer notification strings, such as Inclement Weather scenarios.


     

    1. Choose the Right Notification Type
    • Notification: This is the default notification type when you go to send a new notification. Use to communicate a one-way message with your audience that doesn't require any feedback.
    • Read Confirmation: Use to ask your audience to reply with ‘1’ to indicate that they have received the message.
    • Survey: Use to solicit feedback like schedule availability or evacuation status; up to nine responses allowed.
    • Conference Call: Use to quickly gather people for a call. They will receive a call and press ‘1’ to join. A text and email can be sent with instructions.

    1. Send Through Multiple Channels

    You can send notifications through any combination of channels: (please use Text, App, and Email for all messages)

    • Text: A brief message of 160 characters or less for time-sensitive, urgent matters. Link to an event page for more details.
    • App: A brief message, around twenty words, that audiences can easily respond to within the mobile app.
    • Voice: A way to reinforce messages from other channels and ensure delivery to phones without texting capability.
    • Email: A way to provide important details not included in a text or app push. This channel is good for items that aren’t time sensitive.

     

    1. Choose Your Audience

    You can send your notification to any combination of Groups, individual users, or custom channels (if applicable).

    • Always select the location of the emergency.
    • Templates are preset to select other groups that are needed in the notification process.

    1. Write Your Message

    Write your message or use the pre-filled template.

    1. Pick Your Event (optional, or dependent on event)

    Tie your notification to an existing event page or create a new one for ongoing incidents to organize related updates, If you don’t want to create an event page, you don’t do anything on step 5.
