Adding or Removing Services from a MaineCare Authorization

CCBHC clients have one (1) authorization that encompasses all the approved services that the client is participating in. The Services screen shows services that are valid for any program the client is open to. CCBHC Authorizations are mostly automated based on SPM, however some services may require manual intervention. |

Making Changes to an Auth.
From the Client Menu, click on Services. ![]() |

The Services menu option is located under the CCBHC category of the Client Menu. You can also pin it to your favorites for quicker access. | ![]() |

Removing a Service from an Auth.
Services that are on the current auth will show a Remove Service button beside them. To begin the process of removing a particular service, click Remove Service. |
![]() Select the intended Discharge Date and click Save. ![]()
If client has not yet been closed to the program that uses the service you are trying to remove, you'll be asked to confirm whether or not you want to continue. Click Yes to continue with removing the service. ![]()
The services that will still be included in the authorization will then show Upload in Progress while the original auth discharge is being processed and the new auth. less the removed service is uploading. ![]()
In the MaineCare P.A. screen, the original auth that is now discharging and will have red text. The new auth will show as Awaiting Upload and the Removed Service will no longer be listed. ![]()

Adding a Service to an Auth.
Available services that are not included in the current CCBHC auth. will have an Add Service button listed beside it. ![]() |
Clicking Add service is the first step in getting a new auth. that includes this additional service. Select the date for the start of this additional service. and click Save.
This will initiate the discharge of the current auth. and simultaneously begin a new auth. with the newly added service. |

The Services screen will appear as follows: |
When you add a service with a same day start date (For this example, today's date is 07/01/2025) |

The services from the original auth. will then read Upload in Progress as the original auth. has been discharged and the auth with the additional service is in the process of uploading. |
In this example, the H0038TJ - Peer Support for Youth is being added. ![]() |
When you add a service with a start date in the future (For this example, today's date is 07/01/2025) |

The services from the original auth. will then read Discharge in Progress as the original auth. is in the process of discharging for the new auth with the additional service to upload for the future start date. |

This screen also lists services that aren't included in the auth, and the client does not qualify for. You will see a button labeled, Doesn't Qualify. Hovering over any service that the client doesn't qualify for will show an explanation of why they don't qualify for that service. ![]() |

Emailing Acentra
When attempting to add a service with a start date that matches the current auth date, you'll see the following alert. You'll be prompted to email Acentra to have them add the service onto the existing CCBHC auth. rather than having to generate a brand-new auth. |

You can view the details of the MaineCare prior authorization (P.A.) in the MaineCare P.A. screen found in the Client Menu. ![]() This shows the current active CCBHC Mainecare authorization. ![]() |
The red text indicates that this CCBHC auth. has been discharged. ![]() |
⚠️When you add or remove a service, it also generates a new auth. The image below represents a new auth that is Awaiting Upload. ![]() |
